Executive Assistant (CDI)


You assist both associate directors: development of procedures and routines, classifications and charts, prioritization of tasks.

Follow-up of tender documents (administrative files, proofreading, sending, verification of documents), contracts, invoicing

Event logistics support: organization of trips, transport and accommodation reservations, catering, invitation list tracking

Update of the accounting records: follow-up of the information necessary for the establishment of the pay slips (days of leave and recovery, etc.), invoices, restaurant vouchers, expense reports, statements of account, VAT declaration – mainly follow up invoices customers and suppliers, preparation of supplier payments.

Formatting of documents, transcriptions of certain documents, orthographic and grammatical proofreading

Support for digital records management, archiving

Support for the management of the technical and storage room

Participation in work meetings with the team

HR: follow-up of medical visits, management of absences, leave and restaurant vouchers, hiring of trainees

Telephone reception (French / English), mail follow-up, and management of supplier and customer relations

Organization of meetings (including preparation and storage of the meeting room, preparation of webinars), updated dashboard of contracts and ongoing assignments

Logistics of the team (purchase of consumables, operation of equipment – photocopier, telephone equipment, …).

Other management and team support tasks in the organization of surveys and missions

Exceptionally and after discussing material possibilities for you, attending a meeting outside the office

Profile sought: BTS executive assistant or equivalent, 5 to 10 years of experience.

Skills: Mastery of office software (Pack Office type), computer fluency, proficiency in English, fluency in oral

Type of contract and salary conditions:

Permanent contract (with a trial period of 2 months, renewable once) of 35 hours per week and 5 weeks of paid holidays between € 2000 and 2500 Gross per month over 13 months, 100% coverage of the Pass Navigo and €9 Ticket Restaurant. A company health assurance (Mutuelle) is also proposed.
